Products and Inventory: records and fields

Detailed reference for products, fiscal classification, inventory, lots, expiry and variants.

How to read this pageEach field explains what it is for, what to enter and an example. If your company does not use a feature, that field may not appear for your profile.

1. What Products and Inventory are for

Products defines what the company sells, buys or uses. Inventory controls physical balances and movements by company.

Product→Purchase / receipt→Inventory→Sale / consumption→Balance
Simple differenceProduct answers “what is it?”. Inventory answers “how much exists in this company/location?”.

2. Product record: field by field

Use this screen to define the commercial, operational and fiscal data of the item.

Type

Basic unit used to quantify the item.Choose the unit used in sale and control.Example: EA, KG, BOX.
Group
Required
Organizes items for search, reports and business rules.Choose the correct group.Example: IT > Storage.
Brand
Optional
Identifies manufacturer or commercial brand.Select when useful for sales or control.Example: Kingston.
Barcode
Optional
Code read by scanner/POS.Enter the item's commercial barcode.Do not reuse the same code for different items.
Auxiliary code
Optional
Second code for search or integration.Use when the company already works with another internal code.Example: SSD-001.
Industry code
Optional
Manufacturer/industry reference code.Enter when needed for purchasing or integrations.Use the official reference.
DUN-14
Optional
Logistics packaging code.Enter when used on cartons/logistics packages.14 digits when applicable.
Sales decimal places
Optional
Controls whether fractional quantities can be sold.Enter a value from 0 to 6.0 for whole units; 3 for kg, for example.
Active product
When applicable
Controls whether the item remains available for normal use.Keep it active while it can still be used.Deactivate to preserve history without new operations.
Track inventory
When applicable
Indicates whether the item needs a physical stock balance.Mark for goods and controlled materials.Usually not enabled for services.
Scientific name
Optional
Additional scientific/technical description.Use only when the industry requires it.Example: technical or healthcare item.
Tender name
Optional
Formal description used in public procurement/tenders.Use when the company participates in public bids or formal proposals.It can be more formal than the commercial name.
Description
Optional
Explains item characteristics.Use clear, objective text.Do not place price or stock in this field.
NCM
Optional
Brazilian fiscal classification of goods.Enter the correct code according to fiscal guidance.Do not guess the NCM.
CEST
Optional
Brazilian tax substitution code when applicable.Enter according to the product's tax rule.Validate with the fiscal/tax owner.
Goods origin
Optional
Fiscal origin classification of the goods.Choose the correct origin.It affects taxation.
Taxable
Optional
Indicates the tax treatment of the item.Choose according to fiscal configuration.Validate with the fiscal/tax owner.
Internal / external ICMS
Optional
ICMS rates used by the configured fiscal treatment.Enter percentages when the company stores this rule in the product.Example: 17.00.
IPI / PIS / COFINS
Optional
Tax rates for the item when applicable.Enter only from a correct tax source.Percentage.
PIS CST / COFINS CST
Optional
Tax situation codes.Enter the correct codes.Do not choose a code because it merely looks similar.
Tax base reduction / out-of-state
Optional
Percentage reduction of the tax base when applicable.Enter only when a specific tax rule exists.Percentage.
Initial quantity
Optional
Opening stock entered at item creation when allowed.Use only for onboarding or an authorized procedure.After go-live, prefer inventory movements.
Minimum inventory
Optional
Quantity below which the item should receive attention.Enter the replenishment threshold.Example: 5.
Maximum inventory
Optional
Reference ceiling for stock/replenishment.Enter when your policy uses a maximum.Example: 50.

3. Inventory adjustment: field by field

Manual adjustment should be used with a reason and permission. Prefer the originating business flow whenever the change comes from purchasing, sales, counting or manufacturing.

Do not do thisDo not use a manual adjustment to hide a purchasing, sales or receiving error. Correct the originating operation whenever possible.

4. Lots, expiry and traceability

Grocery and other operations can control lot, manufacturing date, expiry, losses and outbound movement by expiry date.

Last valid date for the lot.Enter when the item expires.Used for alerts and FEFO.
Quantity
Required
Quantity received/moved for the lot.Enter the physical quantity.Respect the item's unit.
Unit cost
Optional
Cost of the item in this receipt.Enter when the operation tracks cost by lot/receipt.Unit amount.
Loss type
When applicable
Classifies non-commercial outbound movement.Choose Loss, Breakage, Disposal or Return.Helps reporting and audit.
Reason
When applicable
Explains the loss/adjustment.Describe the real event.Example: damaged packaging.

5. Apparel grids and variants

Apparel can use a parent product and variants by size, color and collection.

Barcode

Code read at POS.Enter when the variant has a barcode label.Unique per SKU.
Price

Variant selling price.Enter when the variant has its own price.Money amount.
Cost
Optional
Variant cost.Enter when needed for margin.Money amount.

When applicable
Controls whether this variant can be used.Turn off when it should no longer be sold.Keeps history.
